EXECUTIVE SECRETARY & TRANSLATOR

JOB DESCRIPTION:

Basic Functions:

Performs advanced secretarial duties in support of the department, and performs translation in both Arabic & English as requested. The executive secretary must use a blend of skills and intelligence, good judgment and senior-level experience. He will be closely involved with the work of the company's top management team and has frequent contacts with some of the most influential people in the company.
Duties and Responsibilities:

1. Deals with the top management incoming mail, including assessing its priority, collating it with relevant background information and presenting it in a logical and orderly manner, then allocate, where necessary.

3. Drafts responses to straightforward correspondences, and deal with it to minimize the volume of direct responses required from the top management.

4. Deals with the GM and other top managers' outgoing correspondences, ensuring its accuracy and timely production and dispatch.

5. Performs some translation in both Arabic and English as requested.

6. Manages the GM and other top management diaries, to ensure that they are able to fulfill their commitments in accordance with their agreed priorities.

7. Ensures the accurate and timely production of all reports and papers generated by the GM and other top management. This will of course involve drafting papers.

8. Organizes meetings, receiving visitors to the GM and other top management.

9. Produces notes of the GM meetings and ensuring follow-up action is carried out.

10. Organizes travel arrangements and hotel reservations as necessary for the GM and other top managements within the Kingdom and overseas.

11. Responsibility for checking and reporting when office supplies are needed.
Required Qualifications and Experience
1. Secretarial skills and experience, including accurate typing in both Arabic and English.
2. Excellent computer skills.
3. Experience in administration and able to draft letters.
4. Professional translation in both Arabic and English.
5. Ability to work independently and professionally.
6. Able to prioritize and possess effective time management.
7. Ability to handle extremely details and highly confidential information.
8. Experience for four years in a similar position.
9. University degree in English.
